We are a Northampton shire based Charity and early last year was faced with implementing a new finance system to replace the rather outdated and in part, manual system that we had in place. We benchmarked the various systems on the market and decided to implement Sage, which we purchased via an authorised reseller.
Sage advised that once all fees are paid the software can be downloaded and you are ready to start. Experience has taught me that this is rarely the case and that time spent on implementation is key to any system working efficiently and providing the management information in a useful format.
At this point, Jayne Martins came to help. What a revelation and stroke of good fortune!
I advised Jayne what the organisation’s objectives were and what we were hoping that Sage would provide as regular management information. Jayne instantly understood and quickly outlined the options available to us. From here, we devised an outline plan of the setup work that was needed and the order in which it needed to be completed. Following the plan, we completed the setup work in stages, with Jayne’s on-site visits periodically, to review progress and complete training.
Jayne’s help was invaluable and is the reason why our Sage system is working efficiently and cost-effectively for our organisation. We have the Sage ‘Charity’ add on option switched on that will produce our SOFA statutory account reports; we would not have known this existed without Jayne’s advice. Jayne also set up lots of customised document templates for us. Jayne uses Sage regularly herself and is not just a trainer and consultant, which means that she understands the real daily issues and challenges that face users and can provide real solutions. The integration of Sage 50 Payroll to Sage 50 Accounts was a mammoth set up task but was made easy with Jayne’s instruction and insight. Now that our very detailed and intricate Payroll journals automatically update the Nominal Ledger, we save many man-hours of manual calculating and data input time and, having been told by Sage Technical Support that we would not be able to achieve what we wanted with our Payroll journal due to the huge number of Nominal departments we have in use, we were not aware that this was an option for us until Jayne took a look at it and guided us through the huge mapping process.
Following the successful implementation of our Accounts and Payroll systems and now that we have used them for a few months, we recently arranged a further consultation visit from Jayne. This formed a question and answer session utilising Jayne’s considerable experience and insight into the most efficient processing methods. This involved in some instances, small tweaks to streamline processes but we know from experience that these are things that can make a real difference to an organisation and we know that this advice is not available from the Sage Technical Support Help Desk. This type of knowledge comes only with the considerable experience of actually using Sage within a business, something which Jayne has in abundance thankfully.
In summary, Jayne worked with us to achieve a system that meets all of our requirements and manages our large volume processes. We would not have the fully functioning efficient system that we have today without her help. The money invested in consultancy was small compared to the gains we received.
In short – excellent value for money.
Jayne was mindful of our charitable status and hence the need to keep costs to a minimum. Her great flexible approach allowed us to plan her visits in stages so that we gained the ultimate benefit. She is a pleasure to work with and her training and expertise is invaluable. Thank you very much.
